What personal data we collect and why we collect it

We only collect data that you share with us by filling out your information in a request form. The request form can request your Name, Phone Number, Email Address, Company Details, Personal Message OR the request form can request documentation required to be shared with an Registered Canadian Immigration Consultant. This data is collected and stored over the cloud using WPEngine Cloud Servers. All data transmitted to RCIC’s is performed in a secure manner using Google Cloud Servers and is password protected. 

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

The contact forms displayed in the website are primarily meant to collect personal or company data, which can be used to contact you for your request.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

We have integrated the website to perform user behaviour analytics using Google Analytics, to understand for our company website performance, highly used buttons/ pages or the website and improve our platform to serve you better.

Who we share your data with

We share data with Registered Canadian Immigration Consultants, Members of the Law Society, Any legal entity who has authorisation to access our data for example ICCRC, third party marketing companies which we might employ to understand user demographics or perform targeted leads marketing.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

When we delete your data and how long we retain it

In most of the cases, we delete personal data within 90 days after our services conclude; however, we will retain and use your information as necessary to comply with our legal obligations, government auditing requirements, resolve disputes, and enforce our agreements. At the end of such period, we may, at our discretion, destroy such personal data without notice to you. This official period is regulated by the Immigration Consultants of Canada Regulatory Council(ICCRC).

What data breach procedures we have in place

We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorized way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your personal information will do so only in an authorized manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

What third parties we receive data from

We are not responsible for the privacy practices of any third parties and you can access the privacy policies of our partners or any other third-party providers from them directly. Additional terms and conditions or privacy policies may apply if you elect to take additional services from us or other third parties.

What automated decision making and/or profiling we do with user data

We use third party Customer Relationship Management systems like Zoho, to create your profile and then add additional internal information to the same. This help us keep a track of incoming requests and associate relevant data to these requests.
